White Water Restaurant Management (“the Platform”) is an internal operations tool for White Water Bar & Grill and WW Rooftop Social, operated by WW Food & Beverage based in Canon City, Colorado.
Information We Collect
Account Information: Name, email address, role, and job title provided during account creation and approval.
Usage Data: Scheduling actions, shift swaps, time-off requests, messages sent through the platform, and AI assistant interactions.
Toast POS Data: Sales figures, labor costs, and order history retrieved from the Toast POS integration for analytics purposes.
Uploaded Files: Sysco invoices uploaded for AI-powered OCR processing are stored in Vercel Blob storage.

Data Storage & Security
Data is stored in a secure PostgreSQL database hosted on Neon via Vercel infrastructure. All communications are encrypted with HTTPS/TLS. Authentication uses JWT sessions with 4-hour expiry. Passwords are hashed with bcrypt.

- Neon: PostgreSQL database hosting
- Toast POS: Point of sale integration for sales and labor data
- AI Providers: Anthropic, OpenAI, Google, xAI, Perplexity, Mistral, and Cohere for AI assistant features
- Resend: Email delivery for notifications and password resets
Data Retention
Account data is retained while the employee is active. Messages and AI conversations are stored indefinitely for operational continuity. Uploaded invoices are retained for 2 years.
